Mobile Device Management Process

Managing devices in G Suite for end-users


Accessing The Admin Panel

To administer any of the mobile devices connected to the Outsource Consultants G Suite you will need to be given the privilege by the super admin to access the Mobile Devices page in the Google Admin Console, link here. Once logged into the Google Admin Console, click on the Devices image > Mobile to see the full list of registered devices.

     

The rest of this document will assume you are looking at the mobile device dashboard pictured below.



Reviewing Registered Devices


On the device dashboard are all of the devices that have been registered with Google that are owned by an end-user. OC does not at this time have mobile company devices so all of the registered devices are owned by the end-user. Each entry has information on the device maker, OS version, last sync, first sync, and ownership.


When clicking on any entry the option dots appear on the right side and holds the actions to wipe account, delete device, or audit activity by this account/device. These same options are also on the individual entry page for each device.


Register a New Device


New devices can be registered in 2 ways; either the Device can have the associated Google account logged into on the new device or the device can be uploaded beforehand. Since OC has a “bring your own device” policy, new phones will be owned by the user and added by the user logging in. 


Users must make their intentions known to the IT Coordinator if they will be using OC Google Account on their personal devices. See the IT Policy document for more information about using personal devices at OC.

To fully administer a device the user will need to download the associated app for their device. This provides better data security and device control for OC. Have the user download the version they need for their phone and have them register with G Suite. Only basic security is required at this time.

Tools and Use Cases

Here are several scenarios where management on the Mobile Device Management dashboard would be required. The main action is to wipe a device, this action removes all of the company information. Devices can also be deleted if they aren’t needed anymore. Additional security measures can be applied to the phone such as lock screen requirements or location tracking.


User Removal

If a user has left OC, we will want to remove the OC information on their device. Wipe their information before deleting their device.


Device is lost/stolen

If a user loses their device, we will want to wipe the device and delete it from the dashboard. Additional security can be added to the lock screen or tracking can also be activated to help authorities locate the device.


New User Device

If a user has a new device they signed in to then the old device can be removed and wiped so the user only has active devices.


Action Audit

If the actions of a user need to be reviewed recent actions can be reviewed in the dashboard from the View Audit Info option.

Removal, Clean-up, and Auditing

Keeping the mobile dashboard up-to-date will require that devices be wiped and removed from time to time. The following actions can be viewed on the Mobile Device Dashboard or on the Device page as pictured below. There are the primary functions of the dashboard.



Wiping a Device

Wiping a device removes all of OC’s information from the device. This does not remove all of the information on the device, just the OC information and the associated application information.


Deleting a Device

Deleting a device removed the device from the management of OC. If the data needs to be removed from the phone as well, be sure to wipe the device first.


Auditing a Device

Viewing the Audit information will bring up a list of all the interactions of mobile devices ordered by how recent the action is. Additional information may be available in the Reports section if this audit isn’t informative enough.
